Provide comprehensive financial, operational, and customer service support to ensure efficient school financial operations. Responsibilities include managing and reconciling school, athletic, grant, and activity accounts; processing payments, deposits, budget transfers, journal entries, ProCard transactions, reports, and student fines and fees; and coordinating purchasing, requisitions, and textbook adoptions in alignment with district guidelines. The role works with district departments and supports annual budget development, maintains required financial documentation, oversees funds raised and inventory, and prepares cash boxes for events. The role also processes payroll time sheets and leave documentation, and collaborates with athletics staff to maintain accurate athletic financial records.
Responsibilities:
- Maintain and reconcile multiple school activity accounts in the Enterprise Resource Planning system, including processing checks, invoices, and purchase orders; preparing bank deposits and providing transaction reports to activity sponsors.
- Monitor and reconcile several accounts, including school SRA, athletic budget, Increased enrollment, and grants; support the principal and athletic director in developing annual budgets; prepare and process budget transfers and journal entries; collaborate with the athletic assistant to manage athletic program finances; and reconcile Procard accounts and payments.
- Complete a variety of financial and operational tasks, including year-end reporting, student check-in/out support, management of fundraised dollars and activity accounts, updating donation records, maintaining postage supplies or meters, calculating and filing sales tax, and managing textbook inventory.
- Provide customer service to families, staff, and students through phone support, information sharing, and transactions; and, as directed, assist with projects and/or student events.
- Process or provide backup support for district payroll time sheets for building by entering time and substitutes. I maintain professional leave documentation.
- Manage building supply and IT warehouse orders by issuing requisitions, processing online purchases with contracted vendors, and coordinating textbook adoption requisitions in alignment with district purchasing and financial guidelines.
- Post fines and fees in student information systems, collect payments against posted fines and fees, reconcile, and deposit to proper accounts.
- Provide and reconcile cash boxes for events by issuing cash advances, tracking funds distributed and returned, balancing cash boxes, and preparing deposits for associated activity accounts.
- Allocate, monitor, and reconcile all building ProCards by reviewing statements for accuracy, correcting account codes as needed, and making purchases on behalf of staff without card access.
- Run monthly RevTrak/POS payment reports, respond to customer inquiries and resolve issues, process refunds, and create new items in the RevTrak store.
- Maintain and reconcile athletic financial records by posting fees, monitoring family caps, processing eligible exemptions, and managing Arbiter account allocations.
- Perform other duties as assigned.
Qualifications:
Required:
- High school diploma or equivalent, plus specialized courses in computer, database, business.
- Minimum of three years experience in office management, bookkeeping, accounting and/or budget.
- Communicate (read, write, and speak) in English.
- Completed and submitted BVSD online application.

- Bilingual English/Spanish
- Ability to maintain confidentiality in all aspects of the job.

- Ability to manage multiple tasks with frequent interruptions.
- Ability to promote and follow board of education policies, superintendent policies and building and department procedures.

Salary Information:
Salary Placement varies according to experience and education.
*Pay range listed above is for employees newly hired to BVSD or current BVSD employees that are new to the employee group (existing employees currently in this unit please refer to the pay range on the appropriate salary schedule).
