The Athletic Assistant serves as an assistant to the High School Athletic Director and is responsible for completing related clerical work. The Athletic Assistant serves as a resource to staff, students, families, and the community concerning general administrative policies and procedures regarding all high school athletic events and activities.
Responsibilities:
- Serve as the department contact for district staff, school staff and community. Assist the Athletic Director with the coordination of athletic and extracurricular events by scheduling game/event dates, game event workers, referees, law enforcement, and transportation: reserving fields/auditoriums; and submitting contracts for non-league events. Manage and oversee administrative and daily office operations including but not limited to: maintain calendars for the athletic director, prepare communications about events including newsletters and handbooks, update the website, answer calls and emails, order supplies and uniforms, generate work orders, collect and distribute mail, and track and record PE waivers. Maintain student records in Infinite Campus.
- Complete registration for athletes by collecting information from parents, answering questions, emails, collecting physicals, etc. Submit job requisitions for coaches, activity leaders, and intramurals. Guide new applicants through the new hire process and maintain all CHSAA requirements for coaches. Compile and manage CHSAA directory information, and compliance forms. Complete weekly, quarterly and annual reports for the school, District and the State Athletic Associations for the purpose of athletic eligibility, equity and classifications. Compile annual reports for the use of the School District to submit to the State of Colorado for school funding.
- Coordinate tournaments and awards banquets: order and engrave trophies, prepare certificates/awards, order supplies and food, secure location, coordinate schedules, and assist with out of town travel arrangements.
- Collect athletic fees and prepare a deposit of these fees for the school treasurer. Process billing statements and payments for athletic and extracurricular events, pay officials, process timesheets, and assist the athletic director with the overall budget.
- Assist students in the health room, including maintaining health records, distributing medications, preparing First Aid kits and medications for field trips, assisting sick or injured students, contacting parents or 911 and completing and sending accident forms as needed. These duties may be performed in the absence of a Health Para or in collaboration with the School's Emergency Response Team.
- Building Security, monitor main entrance, greet authorized personnel and/or visitors following district policies and procedures. Provide assistance to students, staff, parents, coaches, and community members in school related questions and activities.
- Perform other duties as assigned.
Qualifications:
Required:
- High school diploma or equivalent, plus specialized courses in computer applications.
- Minimum of two years experience in general office occupations and computer experience.
- Communicate (read, write, speak) in English
- Completed and submitted BVSD online application.
Preferred:
- Bilingual English/Spanish.
- CPR/First Aid certification.
- Ability to maintain confidentiality in all aspects of the job.
- Ability to manage multiple priorities.
- Ability to manage multiple tasks with frequent interruptions.
- Ability to diffuse and manage volatile and stressful situations.
- Ability to work with students.
- Knowledge of office practices.
- Ability to interact and work effectively and cooperatively with people from diverse ethnic and educational backgrounds.
Salary Information:
Salary Placement varies according to experience and education.
*Pay range listed above is for employees newly hired to BVSD or current BVSD employees that are new to the employee group (existing employees currently in this unit please refer to the pay range on the appropriate salary schedule).
