Summary:
The Preschool Enrollment and Billing Specialist supports the preschool enrollment process, both internally on the Early Childhood department team and externally by interfacing with families and the community. This position works closely with the preschool enrollment team, IT, and the communications department to process preschool enrollments, troubleshoot and problem-solve enrollment integration issues, and market BVSD preschool programs across the county and beyond. This position works directly with families to help families navigate the enrollment and billing process and problem solve issues that arise as needed. This position also processes all tuition and billing for preschool for tuition-paying families and our families who enroll in preschool using CCAP (Child Care Assistance Program).
Responsibilities:
- Collaborate with IT to analyze, diagnose, and troubleshoot usage and integration issues with online enrollment platforms; assist the Early Childhood team on supported software; create and maintain protocols/standard operating procedures for enrollment platforms.
- Process BridgeCare and SchoolMint registrations to submit to Infinite Campus (IC), and collaborate with IT to develop systems that bridge incompatibilities between BridgeCare and SchoolMint.
- As part of the enrollment process, process registrations for Colorado Universal Preschool Program (CUPP), CCAP, and tuition-paying families; verify documentation uploaded and troubleshoot issues in applications; pursue missing or inadequate documentation; verify household information and addresses; maintain student waitlists as needed; support families with the enrollment process as needed.
- Create and pull enrollment reports; produce related reports/spreadsheets; participate in maintenance of the department’s master class lists and related spreadsheets.
- Serve as webmaster for Early Childhood preschool and Kindergarten web pages, including proactively identifying opportunities to improve the user interface, developing flexible content and implement design changes, and providing subject matter expertise and technical guidance.
- Collaborate with the Communications department to provide aligned and clear communication and resources to school communities by attending BVSD Editorial Committee meetings and sharing timely, relevant messaging about ECE through district publications.
- Serve as the CCAP (Child Care Assistance Program) point person for preschool enrollment with the City of Boulder; process all CCAP payments, paperwork, and documentation.
- Answer phones and support routine inquiries with preschool enrollment, including questions about Child Find, McK-V, and Open Enrollment. Prescreen and resolve parent questions and convey concerns to the appropriate staff member and respond to all email inquiries. Develop and promote good relations as a department resource for parents, staff and the community.
- Administer all ProCare tuition billing and collections for Preschool Learning and Enrichment programs, including entering all new tuition student information into ProCare and processing withdrawals. Review and reconcile all monthly tuition charges and refunds and prepare entries for the Accounting office. Work with Procare client support to troubleshoot software issues and implement new functionality.
- Work with the team to complete both routine and special projects.
- Perform other duties as assigned.
Qualifications:
Required:
- High school diploma or equivalent.
- Minimum of three years experience in general office occupations or equivalent education and computer experience.
- Completed and submitted BVSD online application.
- Communicate (read, write, and speak) in English
Preferred:
- Bachelor's degree
- Bilingual English/Spanish
- Experience working in Google Docs, Infinite Campus, ProCare Online, Teaching Strategies Gold, SchoolMint, FinalSite web platform
Salary Information:
Salary Placement varies according to experience and education.
*Pay range listed above is for employees newly hired to BVSD or current BVSD employees that are new to the employee group (existing employees currently in this unit please refer to the pay range on the appropriate salary schedule). BVSD engages in a salary placement process vs. a salary negotiation process. The compensation offered to the successful applicant may vary based on factors including experience and education.
