Summary:

Provide clerical support to the Assistant Principal, Counselor, and/or Athletic Director with management details associated with secondary education and activities.

Responsibilities: 

  • Assist counselors, assistant principals, deans, or athletic directors with various duties, which may include but are not limited to preparing attendance letters, tracking of truancies, discipline letters, coordinating college fair, preparing Honor Roll reports, credit loss, senior failure and incomplete credit letters, scheduling meetings, scheduling extra-curricular activities, scheduling buses for field trips, coordinate events, processing Extra Duty Contracts, and other duties as needed.
  • Maintain student records on Infinite Campus and through cumulative files, including attendance records, enrollment, withdrawal, health records, discipline records and other information as directed. Assist registrar as needed. 
  • Attendance and discipline tracking: Input attendance progression and consequences for students, enter list of students for detention and follow up with additional disciplinary assignments as directed by administrator.
  • Attendance: Process family attendance emails, calls, pre-arranged absence forms, documentation letters and calls and input into Infinite Campus. Serve as liaison between students, parents, staff, and appropriate agencies regarding student attendance; resolve parent complaints. Contact parents to verify student absences or gather additional information. Maintain student attendance records including watching for patterns, inputting correct flags and alerts and sending any corresponding emails/ letters in relation to the alerts/flags. Input and excuse weekly sport team/ field trip/special events excusals. Process attendance for each period for substitute teachers. Assist in annual October count practices.
  • Counseling support: Assist counselor with completion of student course selection forms, enter course requests into IC, request transcripts. Edit Course Description Guide: review and update prerequisites, fees, credits earned, and update on website. Assist with scheduling, renaming classes, creating sections, assigning teachers in IC.
  • Act as receptionist when needed for the counseling office and/or the building, including answering phones, directing visitors to the appropriate contact, assisting teachers with Ad-Hoc reporting, creating student assistant sections, completing Age Certificates. Process incoming and outgoing District and US Mail. Monitor the substitute management system to ensure the complete staffing of the school as needed. Assist with sub management; electronic signs; manage staff calendar. 
  • Communication to students and parents: compose weekly newsletter, bulletin boards, announcements via digital sign. Assist principal in sending out messages to students and parents, as needed.
  • Backup to the Health Room: Assist students in the health room, including maintaining health records, distributing medications, preparing First Aid kits and medications for field trips, assisting sick or injured students, contacting parents or 911 and necessary health forms. These duties may be performed in the absence of a Health Para or in collaboration with the School's Emergency Response Team.
  • Building Security as needed: Monitor main entrance, greet authorized personnel and/or visitors following district policies and procedures. Provide assistance to students, staff, parents, coaches, and community members in school related questions and activities.
  • Maintain files for correspondence, reports, handbooks and forms. Prepares forms and files distributing appropriate information to staff regarding students.
  • Complete and submit transportation requests to the Transportation Department for field trips. Coordinate bus information with teachers/coaches and the Transportation Department.
  • Collect fees from students for books, parking, athletics, testing, etc. and prepare a deposit of these fees for the school treasurer. Process transcripts and college applications for students and alumni. Answer general questions regarding the college application process. Track transcript requests and letters of recommendation for counselors. Help students use Naviance tools.
  •  Perform other duties as assigned.

Qualifications: 

Required:

  • High school diploma or equivalent.
  • Minimum of one year experience in secretarial or clerical work.
  • Communicate (read, write, and speak) in English.
  • Completed and submitted BVSD online application.

  • Ability to manage multiple tasks with frequent interruptions.
  • Ability to diffuse and manage volatile and stressful situations.

Salary Information: 

Salary Placement varies according to experience and education.

*Pay range listed above is for employees newly hired to BVSD or current BVSD employees that are new to the employee group (existing employees currently in this unit please refer to the pay range on the appropriate salary schedule).
