Summary:

At the direction of the Principal, the PK-8 School Office Manager(SOM) provides comprehensive clerical and administrative support to the principal, administrators, and school staff. This role includes managing calendars, handling communications, coordinating events, maintaining technology and office systems, and monitoring the main school entrance. Additionally, the SOM ensures smooth office operations by managing employee time and attendance records, submitting weekly payroll data, coordinating building substitute coverage, and assisting with crisis and security management procedures.

Responsibilities: 

  • Provide and coordinate comprehensive clerical and administrative support for school leadership and operations by serving as a main contact for school and district employees, managing schedules and calendars, composing and distributing communications, maintaining and managing office and building technology, facilitating building maintenance and facility use, coordinating translation and interpretation needs, and ensuring consistent coverage and record-keeping to support efficient and safe school operations.
  • Manage and maintain employee time and attendance records, submit payroll requests, employee leave actions, resolve absence and coding issues, and coordinate building substitute check-in process and classroom coverage to ensure accurate payroll and smooth daily operations.
  • Provide information and customer service support to administrators, students, parents, guardians, staff, and community, including responding to inquiries and concerns, coordinating meetings, activities, and events, and supporting student check-in processes, including documentation and fee collection.
  • Coordinate and support office workflow by serving as a lead for the school office professional team, coordinating tasks, providing training and guidance to classified staff, assisting with scheduling and assignment of duties, implementing office and workroom procedures, and providing backup support for healthroom operations as directed to ensure smooth daily operations.
  • Collaborate with Human Resources, Budget, and Benefits teams. Monitor staffing allocations and budget information for accuracy; coordinate and enter school personnel actions in the ERP system; provide comprehensive support for end-to-end hiring processes, ensuring efficient, accurate processing of staffing operations; and provide initial coordination with appropriate district staff regarding employee leave of absence and workers' compensation needs. 
  • Provide comprehensive support for school budget management by entering budgets in the budget software system, monitoring all accounts and funding sources, realigning budgets, processing corrections through journal entries, preparing financial summaries, managing fundraising and program initiatives, and advising administrators on account status to ensure accurate and compliant financial operations.
  • Maintain donation records and submit gift reports to the district. Complete miscellaneous financial projects/tasks, district initiatives, including producing year-end reports for district accounting.
  • Serve as the building liaison for the purchasing card program by reallocating charges, reconciling monthly statements, verifying account codes and receipts, and approving transactions for all cardholders to ensure accurate and compliant financial activity.
  • Order supplies and learning materials for building, contact companies or individuals for quotes and to resolve issues.
  • Support student behavior and discipline processes by ensuring accurate documentation and supporting positive behavior interventions as directed. Serve as a point of contact and provide operational support in the principal’s absence, including coordinating required communications and documentation.
  • Support building security and safety by following district policies and procedures, monitoring the main entrance and greeting visitors, managing keys and security system access, assisting with crisis and safety procedures, including drills and emergency responses, maintaining building and campus maps, coordinating volunteer check-ins, and submitting and tracking maintenance requests and insurance claims to ensure a safe and well-maintained campus.
  • Perform other duties as assigned.

Qualifications: 

Required:

  • High school diploma or equivalent and experience in secretarial work, word processing, basic computer skills and bookkeeping. 
  • Minimum of three years experience in general office work. 
  • Communicate (read, write, and speak) in English. 
  • Completed and submitted BVSD online application. 

Preferred: 

  • Bilingual English/Spanish
  • Specialized courses in business, vocational school, or community college related to office 
  • Ability to maintain confidentiality in all aspects of the job. 
  • Ability to manage multiple priorities. 
  • Ability to manage multiple tasks with frequent interruptions. 
  • Ability to diffuse and manage volatile and stressful situations. 
  • Ability to interact and work effectively and cooperatively with people from diverse ethnic and educational backgrounds. 

Salary Information: 

Salary Placement varies according to experience and education.

*Pay range listed above is for employees newly hired to BVSD or current BVSD employees that are new to the employee group (existing employees currently in this unit please refer to the pay range on the appropriate salary schedule).
