Summary:

Provide administrative assistance to principal, administrators, office and school staff and students by answering/screening phone calls, coordinating meetings and events, monitoring time and attendance, handling confidential information, receiving and responding to inquiries and requests, coordinate hiring process and personnel data, compile reports, managing building keys and security, managing and coordinating the activities of the office staff, managing crisis situations and preparing correspondence and other confidential written communication. Serve as a resource person and liaison between administrators and faculty, staff, students and the public.

Responsibilities:

  • Provide and coordinate clerical support activities for the principal, administrators and school staff by maintaining the principal’s/administrator’s calendar and schedule, managing phone calls, preparing, designing, composing, typing, word processing and/or formatting correspondence, documents, handbooks, reports, newsletters, website updates, agreements and programs, arrange for printing and distribution as appropriate, receive and distribute faxes, maintaining office and building technology.
  • Maintain activity accounts in the ERP system for academic departments, clubs, organizations and general fundraising accounts. Duties include, but are not limited to processing invoices and purchase orders from vendors, prepare bank deposits, provide account detail reports upon request and balance accounts.
  • Monitor school SRA, increased enrollment, grants, and budget transfers. Assist principal with development of annual budgets, prepare budgets transfer worksheets for annual realignment, process journal entries, and reconcile budget, activity and grant accounts. Reconcile Procard accounts and payments for all active cards in the building.
  • Oversees all of the school's financial operations, including budget management, accounts receivable, accounts payable, and purchasing.
  • Manage employee time and attendance. Complete and submit weekly payroll. Process Professional Leave Forms, and confirm daily employee absences for proper coding and input into payroll; resolve issues, prepare and submit employee corrections. Check in substitutes daily and manage classroom coverage throughout the building.
  • Provide information and services to administration, students, parents, guardians, staff and community as required or requested. Receive and respond to inquiries and concerns regarding the building/school.
  • Maintain school master calendar and master events calendar. Serve as primary contact for Community Schools Program facility use scheduling.
  • Lead, coordinate and/or assist with the office workflow including training, planning, assigning and directing necessary activities of classified staff. Develop, update, communicate and implement office and workroom procedures and equipment. When necessary coordinate translations.
  • Manage technology, furniture, fixtures, and equipment of the building: purchasing, receiving, submitting work orders, tracking inventory, training staff on best practices, and supporting staff when needed.
  • Coordinate meetings, activities and events including event logistics, marketing, and post event debrief.
  • Monitor budget variance for accuracy of FTE. Coordinate and submit through the district ERP system, job requisitions, requests for hire, change actions including resignations, terminations, leave of absence, transfers and retirements. Create vacancy notifications, set up interview schedules, provide hiring committee materials, and follow through with recommendation to hire notifications.
  • Support positive behavior support process for students as well as the discipline process when necessary. Provide backup support in the principal's absence. Ensure data is submitted in IC behavior and discipline tabs, and provide follow up support to students, parents, staff and district as needed. Communicate with Social Services or other support agencies as needed.
  • Building Security, monitor main entrance, greet authorized personnel and/or visitors following district policies and procedures. Manage building keys and security alarm code, radios, and intercom system. Assist in the development, training and implementation of crisis plans, safety procedures including scheduling fire drills, emergency evacuations and building lockdowns. May support crisis procedures with the assistance of the district personnel in the absence of the school administrator. Maintain building and campus location maps. Support the volunteer background check-in process, the maintenance of the building, input work order requests, track progress and resolution, as well as submit insurance claims for damaged property.
  • Perform other duties as assigned. 

Qualifications:

Required:

  • High School diploma or equivalent plus specialized courses in computers, business and customer service.
  • Communicate (read, write, and speak) in English.
  • Completed and submitted BVSD online application.
  • Minimum of three years progressively responsible administrative assistant and secretarial/clerical experience.

Preferred:

  • Knowledge of district policies and procedures.
  • Knowledge of office practices as well as functioning as an office manager.
  • Ability to make decisions in accordance with rules, regulations, policies, and procedures.
  • Intermediate to advanced computer knowledge and experience, including Microsoft Word, Excel and Google.
  • Strong interpersonal skills and ability to function under pressure in a pleasant and personable manner.
  • Ability to manage multiple priorities and tasks with frequent interruptions.
  • Positive communication, interaction and work experience with diverse individuals.
  • Bilingual English/Spanish

Salary Information:

Salary Placement varies according to experience and education.

*Pay range listed above is for employees newly hired to BVSD or current BVSD employees that are new to the employee group (existing employees currently in this unit please refer to the pay range on the appropriate salary schedule). BVSD engages in a salary placement process vs. a salary negotiation process.
