Summary:
Responsible for the registration of new students and maintaining a variety of student records and transcripts. Perform secretarial duties, coordinate and prepare documents, responsible for maintaining accurate student database information and related reports/spreadsheets, inform public with regard to district policies/procedures as per BVSD website.
Responsibilities:
- Maintain, monitor and manage an accurate student database according to federal and state laws, district policies and procedures. Add and withdraw students, update personal demographic information and have familiarity with student schedules. Coordinate quarterly grade reporting, including directing teachers in the procedure. Provide data for various reports that may include grade reporting, October Count, CDE end-of-year, eligibility for honors or awards. Help parents complete the Annual Data Update (ADU). Process and submit ADUs.
- Facilitate the student enrollment process. Schedule appointments with incoming students and families, obtain required documentation, such as requesting records from previous schools; birth certificate, immunization records, standardized test results and grade reports. Determine residency requirements and inform families of building/district policies. Transcribe graduation credits fo transferring students. Process online registration applications for new students. Complete the Safe Schools check.
- Process other student cumulative records including but not limited to Education Verifications, Employment Verifications, Student Password Resets, Counseling Department Meetings, PE Waivers, Independent Studies, WF/WP/F transcript requests, Credit Recovery, Concurrent Enrollment Grading, Name/Gender Updates, Age Verifications, Graduations preparation, Confirmation of Enrollments, Data Quality, Address Changes/verifications, providing families within OE and enrollment and withdrawal policies, and assisting counselors with Credit checks.
- Assist in the coordination of college and scholarship applications, including reviewing the applications and providing a transcript and other requested information. Submit Common Application forms, letters of recommendation, and transcripts electronically. May also create and maintain a scholarship database and inform students of college nights, college visitors and other post secondary opportunities.

- Assist in building the master schedule by facilitating student input of said requests. Examine student schedules to ensure they are complete and accurate, assist counselors in making schedule changes and corrections, an/or facilitate distribution of schedules to students as needed.
- Coordinate and oversee the course selection process by compiling, designing, verifying data, and arranging for the distribution of all course selection materials.
- Provide student information systems training for new and existing employees and respond to requests for assistance in the use of the Infinite Campus system. Assist parents with IC portal set up and use. Support families with F/R applications.
- Support building security, monitor main entrance, greet authorized personnel and/or visitors, and serve as the back up to the healthroom.
- Perform other duties as assigned such as open enrollment coordinator, October count facilitator, and graduation specialist.
Qualifications:
Required:
- High School Diploma, plus post-secondary courses in computers or database software.
- Minimum of one year experience in computer, general office and/or public relations.
- Completed and submitted BVSD online application.
- Communicate Read/Write/Speak in English.
Preferred:
- Experience in an educational environment.
- Ability to interact and work effectively and cooperatively with people from diverse ethnic and educational backgrounds.
- Ability to maintain confidentiality in all aspects of the job.
- Ability to manage multiple priorities.
- ability to manage multiple tasks with frequent interruptions.
- Bilingual English/Spanish preferred.
Salary Information:
Salary Placement varies according to experience and education.
*Pay range listed above is for employees newly hired to BVSD or current BVSD employees that are new to the employee group (existing employees currently in this unit please refer to the pay range on the appropriate salary schedule). BVSD engages in a salary placement process vs. a salary negotiation process. This information is provided in compliance with the Colorado Equal Pay for Equal Work Act and is the company's good faith and reasonable estimate of the compensation range and benefits offered for this position. The compensation offered to the successful applicant may vary based on factors including experience and education.
