Summary:
This Community Schools Office Assistant IV provides clerical and administrative support to the Community Schools department and serves as a primary point of contact for staff, contractors, families, students, and community members. The role supports department operations through scheduling, communication, data entry, record management, and customer service. Responsibilities include assisting with program registration, contracts, refunds and adjustments, maintaining accurate information across multiple systems, and providing culturally responsive support to diverse stakeholders.
Responsibilities:
- Serve as department contact for district staff, school staff, Community Schools contractors, and the community. Provide assistance, identify and prioritize incoming information, and escalate as needed.
- At the direction of the Community Schools Leadership, manage and process refunds, transfers, credits, and change requests for Community School programs.
- Schedule department meetings, order supplies, facilitate communication, and prepare, compose, process, and distribute correspondence. Retrieve, answer, and distribute email; manage mailing lists; handle phone calls, screen and direct to appropriate people; answer inquiries, follow through on requests, and solve routine & non-routine problems.
- Support to culturally, linguistically and financially diverse stakeholders. Serving as the point of contact for community members and students for Community Schools programs, and through the registration process.
- Enter, update and maintain information from databases, spreadsheets, Learning Management Software (LMS) programs, charts and reports.
- Maintain filing systems. Gather, compile, synthesize, analyze, verify, write and format reports from various systems, forms, submissions and other requested data. Review & copy documents; type drafts and prepare final copies for management staff as needed.
- Assist with Community Schools vendor and community contracts, trainings and review processes.
- Provide backup support for substitute coverage across Community School programs.
- Perform other duties as assigned.
Qualifications:
Required:
- High school diploma or equivalent.
- Minimum of three years experience in general office occupations or equivalent education and computer experience.
- Communicate (read, write, and speak) in English.
- Completed and submitted BVSD online application.
Preferred:
- Bilingual English/Spanish
- Ability to maintain confidentiality in all aspects of the job.
- Ability to manage multiple priorities.
- Ability to manage multiple tasks with frequent interruptions.
- Ability to diffuse and manage volatile and stressful situations.
- Ability to interact and work effectively and cooperatively with people from diverse ethnic and educational backgrounds.
Salary Information:
Salary Placement varies according to experience and education.
*Pay range listed above is for employees newly hired to BVSD or current BVSD employees that are new to the employee group (existing employees currently in this unit please refer to the pay range on the appropriate salary schedule).
