Pay Range:*$24.10 - $31.09

Summary:

Provides comprehensive clerical and administrative support to ensure efficient daily office operations within the Special Education Department. Serves as a primary point of contact for families, staff, and community members by responding to inquiries and supporting communication related to programs, policies, and procedures. Supports departmental workflows by maintaining records, preparing correspondence and reports, compiling and formatting data, processing documentation for accuracy and compliance, and assisting with special projects. Collaborates with team members to troubleshoot issues, coordinate processes, and support outreach activities while maintaining confidentiality and high standards of customer service.

Responsibilities: 

  • Manage and oversee administrative and daily office operations, including but not limited to: managing phone calls, screening and directing to appropriate person, answering inquiries, following through on requests, solving non-routine problems, scheduling appointments, maintaining calendars and filing system; opening and distributing mail; preparing, composing, processing and distributing correspondence or other print; arranging meetings, conferences and workshops. May attend meetings to participate and/or take notes, prepare agendas and announcements. 
  • Use computer programs to complete tasks.
  • Troubleshoot issues and coordinate work flows for the department.
  • Communicate effectively with community members, staff, parents, and outside agencies. responding to inquiries from district staff, school staff, parents, students, and community members regarding Special Education programs, policies, and procedures. Assist with the development and distribution of referral forms and informational materials, and support community events and outreach activities as assigned.
  • Provide clerical support by running routine reports, compiling and formatting data, processing documentation for accuracy and compliance with federal and state requirements, preparing materials for special projects, maintaining confidentiality, and performing quality control on records and reports.
  • Maintain and update records; research as needed.
  • Work with a team to complete both routine and special projects.
  • Perform other duties as assigned. 

Qualifications: 

Required: 

  • High school diploma or equivalent. 
  • Minimum of two years experience in general office occupations or equivalent education and computer experience. 
  • Communicate (read, write, and speak) in English. 
  • Completed and submitted BVSD online application. 

Preferred: 

  • Bilingual English/Spanish 
  • Ability to maintain confidentiality in all aspects of the job. 
  • Ability to manage multiple priorities. 
  • Ability to manage multiple tasks with frequent interruptions. 
  • Ability to diffuse and manage volatile and stressful situations. 
  • Ability to interact and work effectively and cooperatively with people from diverse ethnic and educational backgrounds. 

Salary Information: 

Salary Placement varies according to experience and education.

*Pay range listed above is for employees newly hired to BVSD or current BVSD employees that are new to the employee group (existing employees currently in this unit please refer to the pay range on the appropriate salary schedule).
