Pay Range:*$24.10 - $31.09

Summary:

The Summer Summit Office Assistant III provides comprehensive support to ensure smooth daily operations of the Summer Summit program. Responsibilities include managing communications, financial transactions, and personnel actions through the district ERP system; coordinating projects, meetings, and events; and maintaining accurate records. The role also oversees building operations, safety procedures, and technology needs while serving as a key contact for staff, families, and community members. This position requires strong organization, communication, and discretion in handling confidential information.

Responsibilities: 

  • Provide administrative support by preparing correspondence, reports, and communications for parents, staff, and the community; coordinate projects and compile, analyze, and format data and documents of a confidential nature.
  • Coordinate administrative functions by managing communications, scheduling, and meetings; maintaining records and calendars; arranging travel and events; and providing logistical support, including preparing agendas, notes, and announcements.
  • Manage financial operations of Summer Summit program through the district ERP system, including payroll, purchasing, deposits, and reimbursements; reconcile transactions, maintain records, and serve as liaison for PCard and budget processes.
  • Monitor budget and FTE accuracy for Summer Summit; at the direction of the Extended Learning and Student Engagement Manager, manage hiring actions in the district ERP system, including requisitions, staffing changes, and recruitment logistics through hire recommendation.
  • Serve as a program resource, fostering positive relationships with parents, students, staff, and the community while communicating district policies and procedures.
  • Manage program technology needs by submitting work orders, coordinating equipment maintenance, and ordering materials and supplies.
  • Provide backup support on an as-needed basis due to absences. Support includes monitoring the main entrance, greeting authorized personnel and visitors, and adhering to district policies and procedures. Manage building keys, security alarm codes, radios, and the intercom system. May also support crisis procedures with the assistance of the district personnel in the absence of the school administrator. Maintain building and campus location maps. Support the volunteer background check-in process, maintain the building, input work order requests, track progress and resolution, and submit insurance claims for damaged property.
  • Order supplies, textbooks, and materials for buildings, contact companies or individuals for quotes, and resolve issues. Organize, schedule deliveries, and pick-ups with BVSD Warehouse.
  • Perform other duties as assigned. 

Qualifications: 

Required:

  • High School Diploma or equivalent and experience in secretarial work, word processing, basic computer skills and bookkeeping
  • Minimum of three years experience in general office occupations or equivalent education and computer experience.
  • Complete and submitted BVSD online application
  • Communicate (read, write, and speak) in English
Preferred:

  • Bilingual English/Spanish 
  • Specialized courses in business, vocational school, or community college related to office.
  • Ability to maintain confidentiality in all aspects of the job. 
  • Ability to manage multiple priorities. 
  • Ability to manage multiple tasks with frequent interruptions. 
  • Ability to diffuse and manage volatile and stressful situations. 
  • Ability to interact and work effectively and cooperatively with people from diverse ethnic and educational backgrounds. 

Salary Information: 

Salary Placement varies according to experience and education.

*Pay range listed above is for employees newly hired to BVSD or current BVSD employees that are new to the employee group (existing employees currently in this unit please refer to the pay range on the appropriate salary schedule).
