Summary:

The Administrative Assistant II provides comprehensive administrative, financial, and project support to the department by coordinating daily operations, preparing correspondence and reports, maintaining records and communications, and supporting meetings, professional development, and special projects. This position manages sensitive and confidential processes and supports district bookkeeping and purchasing functions through accurate processing, reconciliation, and reporting. The Administrative Assistant serves as a key liaison to schools, families, staff, and the community; provides backup support to departmental staff; and assists with coordination and distribution of confidential school planning information to ensure efficient, compliant, and responsive department operations.

Responsibilities: 

  • Provide administrative and project support to the department and District Athletic Director, including but not limited to preparing correspondence and reports; researching and compiling information for special projects, including confidential or sensitive materials; coordinating and formatting requested data; and maintaining department communications through web pages, newsletters, and posting Board meeting materials in BoardDocs and related support pages as directed.
  • Coordinate administrative functions, including managing phones and inquiries; scheduling appointments and maintaining calendars and records; ordering equipment; preparing and distributing correspondence; arranging meetings, workshops, travel, and refreshments; preparing hiring packets; supporting meetings through agenda preparation and note taking; and creating, tracking, and reporting professional development attendance. Support efficient department operations by maintaining office supplies and equipment, coordinating repairs, and identifying opportunities to improve systems and procedures.
  • Provide administrative support for supervisors' direct support staff as directed to include response to requests, scheduling meetings, and department retreats.
  • Screen invoices for payment via the district financial or purchasing card system. Review purchase card transactions, reconcile and prepare proper documents and reports for department and financial services.
  • Responsible for bookkeeping, accounting, and financial functions utilizing the district financial system, including but not limited to: purchase orders for equipment, food, and supplies. Compile time and attendance reports, including payment for stipends and other pay. Track and record translation requests. Develop monthly mileage reports for Executive Directors and Directors. Inform staff of changes in mileage reimbursements and distribute accurate and timely paperwork for their submissions. 
  • Serve as a department liaison to parents, school administrators, staff, and the community by providing guidance on district policies and procedures, supporting a safe and secure work environment, and coordinating volunteer processes with School Office Managers as assigned.
  • Coordinate, maintain contact, schedule, and provide confidential information regarding school UIP and Action Plans. Includes facilitating, presentation preparation, and direct distribution of information to school administrators and staff; maintaining school visits calendar.
  • Perform other duties as assigned.

Qualifications:

Required:

  • High school diploma or equivalent. 
  • Completed and submitted BVSD online application. 
  • Communicate (read, write, and speak) in English. 
  • Minimum of four years experience in general office occupations and computer experience.

  • Bilingual English/Spanish 
  • Ability to maintain confidentiality in all aspects of the job.

Salary Information:

Salary Placement varies according to experience and education.

*Pay range listed above is for employees newly hired to BVSD or current BVSD employees that are new to the employee group (existing employees currently in this unit please refer to the pay range on the appropriate salary schedule). BVSD engages in a salary placement process vs. a salary negotiation process.
