Summary:
Under the direction of the Human Resources Director of Compensation, the HR Administrative Assistant II provides essential administrative support to the Human Resources Directors by managing communications, coordinating projects, and assisting with employment records and special projects. This role handles HR service inquiries, prioritizes and responds to service tickets, and ensures compliance with personnel and contract files. The assistant supports daily administrative functions, including scheduling, meeting coordination, and note-taking, while fostering positive relationships with staff and the community. The position requires discretion, sound judgment, and the ability to manage sensitive and confidential information effectively.
Responsibilities:
- Provide administrative support by creating letters, memos, and reports, and managing communications across various platforms. Coordinate projects involving data from multiple sources; compile, analyze, format, and distribute information, often involving confidential or sensitive HR matters.
- Manage phone calls, answer inquiries, follow through on requests, solve non-routine problems; schedule appointments, maintain calendars; arrange meetings, conferences and workshops, order refreshments; may attend meetings to participate and/or take notes, prepare agendas and announcements.
- Assist with HR special projects, employment records data management, feedback programs, employment contracts, and position maintenance. Assist with data entry, reporting, and ensuring data accuracy in digital HR systems.
- Develop and promote good relations as a department resource for departments, staff, and the community.
- Review, prioritize, and respond to HR-related service tickets. Follow procedures, make informed decisions, and escalate issues to the appropriate staff as needed.
- Perform other duties as assigned.
Qualifications:
Required:
- High school diploma or equivalent.
- Minimum of four years of experience in general office occupations and computer experience.
- Ability to maintain confidentiality in all aspects of the job.
- Ability to manage multiple priorities, take initiative and work independently.
- Ability to manage multiple tasks with frequent interruptions.
- Communicate (read, write, and speak) in English.
- Completed and submitted BVSD online application.
- Ability to interact and work effectively and cooperatively with people from diverse ethnic and educational backgrounds.
Preferred:
- Basic Bilingual skills (English/Spanish)
- Minimum of four years of experience in human resources occupations
- Ability to diffuse and manage volatile and stressful situations.
Salary Information:
Salary Placement varies according to experience and education.
*Pay range listed above is for employees newly hired to BVSD or current BVSD employees that are new to the employee group (existing employees currently in this unit please refer to the pay range on the appropriate salary schedule).
