Summary:
The Health Services Administrative Assistant provides comprehensive administrative, financial, and operational support to the Health Services department by preparing communications and reports; coordinating confidential projects; managing substitute staffing for health room paraeducators; and supporting daily office operations. Oversees departmental financial functions including payroll, purchasing, deposits, PCard reconciliation, and reimbursements. Serves as a primary department contact for families, staff, and community members; manages calendars, meetings, technology needs, and records; and supports district communications and compliance to ensure efficient, responsive department operations.
Responsibilities:
- Provide administrative support by creating letters, memos, reports, presentations. Create and manage information to parents, department, district staff and community using multiple platforms. Coordinate projects using multiple sources (i.e. databases, websites): compile, synthesize, analyze, write and format reports, forms, submissions and other requested data that deal with matters that may be of a highly confidential or sensitive nature.
- Maintain the district's Health Room paraeducator substitute pool, including posting, coordinating interviews and hiring transactions, taking requests for subs from schools and coordinating coverage with our trained substitute pool and allocating the costs to the individual schools.
- Coordinate administrative duties, including but not limited to: managing phone calls, answering inquiries, following through on requests, solving non-routine problems; scheduling appointments, maintaining calendars and filing system; opening and distributing mail, handling faxes; arranging meetings, conferences and workshops, ordering refreshments; arranging travel; may attend meetings and take notes, prepare agendas and announcements Manage technology needs of the department and its employees including but not limited to: submitting work orders for building or equipment maintenance and repairs; ordering materials and maintaining copiers.
- Manage and maintain all financial functions for the department utilizing the district ERP financial system including but not limited to: deposits, warehouse requisitions, purchase orders; weekly payroll, time and attendance reports, stipends, and other pay. Order supplies, process payment requests, may act as the liaison for the PCard program, reconcile transactions for all department cardholders, maintain records, transfer expenditures to proper accounts, and process reimbursements for staff and vendors as needed.
- Serve as a primary department contact by responding to inquiries from parents, students, staff, and community members; provide information on district policies and procedures, and attend district meetings as a representative of the Health Services department as directed.
- Perform other duties as assigned.
Qualifications:
Required:
- High school diploma or equivalent.
- Minimum of three years experience in general office occupations and computer experience.
- Communicate (read, write, and speak) in English.
- Completed and submitted BVSD online application.

- Bilingual English/Spanish
- Ability to maintain confidentiality in all aspects of the job.

- Ability to manage multiple tasks with frequent interruptions.
- Ability to diffuse and manage volatile and stressful situations.

Salary Information:
Salary Placement varies according to experience and education.
*Pay range listed above is for employees newly hired to BVSD or current BVSD employees that are new to the employee group (existing employees currently in this unit please refer to the pay range on the appropriate salary schedule).
