Summary:
Provide support to the Food Services department as a whole including directors and employees.
Responsibilities:
- Provide administrative support by creating letters, memos, reports, presentations. Create and manage information to parents, department, district staff and community using multiple platforms. Coordinate projects using multiple sources (i.e. databases, websites): compile, synthesize, analyze, write and format reports, forms, submissions, and other requested data that deal with matters that may be of a highly confidential or sensitive nature.
- Coordinate administrative duties, including but not limited to: managing phone calls, answering inquiries, following through on requests, solving non-routine problems; scheduling appointments, maintaining calendars and filing system; opening and distributing mail, handling faxes; arranging meetings, conferences and workshops, ordering refreshments; arranging travel; may attend meetings to participate and/or take notes, prepare agendas and announcements.'
- Manage and maintain all financial functions for the department utilizing the district ERP financial system including but not limited to: deposits, invoice submission, warehouse requisitions, purchase orders; weekly payroll, time and attendance reports, stipends, and other pay. Submit and monitor position changes and updates for new and transferring employees. Order supplies, process payment requests, may act as the liaison for the PCard program, reconcile transactions for all department cardholders, maintain records, transfer expenditures to proper accounts, and process reimbursements for staff and vendors as needed.
- Manage and maintain substitute staffing functions for BVSD school site kitchens, including but not limited to: maintaining the substitute management system; coordinating with district managers to determine daily substitute assignments; ensuring full staffing coverage at all sites; and communicating substitute placements on Sunday evenings, the previous evening, and early morning of service days to support uninterrupted kitchen operations and meal service.
- Develop and promote good relations as a department resource for parents, students, staff and the community with respect to district issues, policies and procedures.
- Manage technology needs of the department and its employees, including but not limited to: submitting work orders for building or equipment maintenance and repairs; ordering materials and maintaining copiers.
- Perform other duties as assigned.
Qualifications:
Required:
- High school diploma or equivalent.
- Minimum of three years experience in general office occupations and computer experience.
- Communicate (read, write, and speak) in English.
- Completed and submitted BVSD online application.
Preferred:
- Bilingual English/Spanish
- Ability to maintain confidentiality in all aspects of the job.
- Ability to manage multiple priorities, take initiative and work independently.
- Ability to manage multiple tasks with frequent interruptions.
- Ability to diffuse and manage volatile and stressful situations.
- Ability to interact and work effectively and cooperatively with people from diverse ethnic and educational backgrounds.
Salary Information:
Salary Placement varies according to experience and education.
*Pay range listed above is for employees newly hired to BVSD or current BVSD employees that are new to the employee group (existing employees currently in this unit please refer to the pay range on the appropriate salary schedule).
